Many rural water systems struggle with downtime, water losses, and inefficient operations due to limited data and poor planning. Tap & Track is a free, open-source app that helps water utilities manage daily operations by tracking system performance, maintenance, water volumes, and sales.
It is not another survey tool — it is designed for practical, everyday use, giving managers real-time insights to prevent downtime, reduce water losses, and optimize operations. As a complementary tool in the water sector it aims in turning field data into actionable insights.
Our innovation & its business case
Tap & Track bridges the gap between field operations and management. Caretakers log water quality, volumes, maintenance, and sales directly in the app while they are in the field. With Tap & Track, Practica aims to:
- Strengthen the financial and technical performance of water operators
- Empower local waterpoint caretakers with practical, user-friendly tools
- Build climate-resilient and inclusive water systems worldwide
While managers monitor performance and instruct field officers via a web dashboard. This enables:
- preventive maintenance
- reduced downtime and non-revenue water
- smarter operational decisions
Tracking water taps ensures that water systems remain operational, efficient, and sustainable.
Our design
Tap & Track was developed using a human-centered design approach, which means the people who will actually use the tool — caretakers, technicians, and managers — are involved throughout the design process. By understanding their daily challenges, needs, and workflows, we created a tool that is intuitive, practical, and fits real-world operations.
This approach ensures that the app is:
- Simple mobile logging in daily operations
- Real-life-time performance insights for managers
- Two-way communication between field officers and managers for stronger coordination
By involving end users in testing, feedback, and co-creation, Tap & Track builds local ownership, strengthens operational capacity, and improves water system reliability through better maintenance, planning, and monitoring.
Mobile App
The Android app aims to support Asset Management improvements, planning, implementation and monitoring in the field in a digital manner. The app contains a mobile cashbook, a maintenance plan, log and notification function and the option to insert water quantity and quality data.
Web-dashboard
The Web-Dashboard enables a two-way data interaction with the app. It aims to serve as an online visual dashboard for insights on maintenance performance and/or as a planning or financial tracking tool for stakeholders on a decision-making level.
E-Learning environment
The learning environment is a user-friendly, and interactive digital training module on Asset Management. It consists of 3 different modules aimed at different target groups: from end users to WASH professionals. The modules can be followed consecutively, depending on the capacities and needs of the target groups. It is suitable for online learning by professionals and as a resource classroom facilitation and field training to local staff and communities. It contains concept descriptions, animated videos, case studies, short quizzes and practical assignments for learning.
